Redesigning for AI: From whiteboard to working process prototype

design framework article

Our Process Design Framework is a practical, hands-on approach that delivers immediate value to organizations. The Eraneos AI Process Redesign for AI Workshop exemplifies this by transforming abstract concepts into tangible, testable workflows in a single session. In this article, we’ll explain how it works and what value it brings.

Setting the stage – From processes made for people to processes designed for AI

The workshop begins with a fundamental mindset shift. Traditional processes were designed around human capabilities and limitations – sequential thinking, specialized roles, limited working memory, and organizational boundaries. AI operates with entirely different constraints and capabilities. It can process multiple streams simultaneously, maintain perfect recall of complex rules, work across organizational silos, and operate continuously without fatigue. This is why current organizational processes need to be reimagined and redesigned for AI agents to work with them.

During workshops, our facilitator guides participants through this paradigm shift, helping them see their processes not as fixed workflows to be incrementally improved, but as malleable constructs that can be fundamentally reimagined when designed specifically for AI execution. This perspective change is often the most powerful moment in the workshop, when participants realize they’ve been unconsciously designing around human limitations that no longer apply.

With this new mindset established, a diverse group of stakeholders – process owners, subject matter experts, IT representatives, and customer experience specialists – gather around a digital or physical whiteboard. The Eraneos facilitator introduces the AI Process Design Framework, explaining each building block’s purpose and how they combine to create streamlined workflows.

After a brief orientation, we dive into the current process, mapping it using traditional notation to establish a shared understanding of the existing flow. This often reveals immediate insights about complexity, redundancy, and bottlenecks that participants hadn’t previously recognized when viewing the process from their individual perspectives.

Reimagining the process

With the current state documented, we shift to reimagination mode. Using color-coded magnetic tokens or digital shapes representing each building block, participants begin to reconstruct the process using our standardized building blocks:

  • Yellow hexagons for Multi-Select decisions
  • Blue circles for Check operations
  • Green triangles for Confirm steps
  • Orange diamonds for More-Info requests
  • Red squares for Action execution

This visual language creates a powerful shared vocabulary. As participants place these building blocks on the board and connect them with flow lines, the process naturally simplifies. What might have originally been fifteen specialized steps collapses into five or six standardized building blocks that are understood by every stakeholder.

The facilitator then guides discussions around key questions:

  • “Can these three separate Check operations be consolidated into one?”
  • “Is this Wait step necessary, or can we eliminate it entirely?”
  • “Could this Route operation be removed if we redesign the process for AI execution?”

From design to Digital Twin

Here’s where the Eraneos approach truly differentiates itself. Once the team is satisfied with the redesigned process flow, we capture it digitally – either by taking a photo of the physical board or exporting the digital whiteboard file. This image is then uploaded to the Eraneos Process Execution Platform. Within minutes – not weeks or months – our platform’s AI engine analyzes the process diagram, recognizing the building blocks and their connections. It automatically generates a functional prototype that participants can immediately interact with. The platform leverages:

  1. Pre-built building block templates that encapsulate standard functionality for each building block type
  2. GenAI-powered code generation that customizes these templates based on the specific process context
  3. Mock data connectors that simulate integration with enterprise systems

Experiencing the future state

The workshop then transitions from design to experiential learning. Participants take turns playing different roles – customer, employee, manager – and walk through the newly designed process in real time. They can:

  • Submit test requests through a simulated interface
  • See how the AI-driven process handles different scenarios
  • Experience the dramatically reduced cycle time firsthand
  • Identify edge cases or exceptions that need additional handling

This immediate feedback loop is transformative. Rather than waiting weeks for developers to build a prototype, stakeholders can validate their design assumptions on the spot. They can iterate rapidly, adjusting the process flow and immediately testing the impact.

From prototype to production

At the workshop’s conclusion, participants have not just a conceptual redesign but a working prototype and quantified business case. The Eraneos platform can then export:

  • Detailed process specifications for each building block
  • API requirements for system integration
  • User interface mockups for human touchpoints
  • Implementation roadmap with prioritized capabilities

This output dramatically accelerates the implementation phase. Development teams can focus on system integration rather than process logic, leveraging the building block templates that have already been validated in the prototype.

Case example: Credit card ordering

In a recent workshop with a leading European bank, we reimagined their credit card ordering process – a workflow that typically took several business days and involved touchpoints across multiple departments. Within our four-hour workshop, the cross-functional team redesigned this process using the AI Process Design Framework. They created a streamlined flow with:

  • A Multi-Select building block that instantly determines eligible card products based on customer profile
  • A consolidated Check building block that simultaneously validates identity, credit standing, and compliance requirements
  • A digital Confirm building block for secure customer authorization
  • A streamlined More-Info building block that automatically requests any missing documentation
  • An integrated Action building block that triggers card production and updates all systems simultaneously

The digital prototype demonstrated how this AI-orchestrated process could reduce the end-to-end time from days to minutes, with the majority of applications requiring no human intervention at all.

Post-implementation metrics confirmed the workshop’s projections with dramatic reductions in processing time (from days to minutes), significant decreases in operational costs, substantial increases in application completion rates, and notable growth in new card acquisitions.

The bank’s Head of Digital Transformation commented: “This workshop showed us how to fundamentally reimagine the process when AI is the primary executor. The difference is transformative.”

The power of tangible transformation

The Eraneos AI Process Design workshop bridges the gap between abstract process redesign and concrete implementation. By enabling stakeholders to not just envision but experience the reimagined process, it builds conviction and momentum for transformation.

This approach dramatically compresses the time from concept to validation, allowing organizations to test multiple process variations quickly and confidently select the optimal design. The result is faster implementation, higher adoption rates, and greater business impact – all critical factors in successful AI transformation.
